Privacy Policy

MailClient is built so your email stays yours. This policy explains exactly what the software and our license server handle.

Your email stays on your PC

The software connects your PC directly to your email providers (for example Gmail or Microsoft 365). Your messages, contacts and attachments are stored on your PC, not on our servers. We cannot read them. Account passwords are kept in Windows' own credential store, and sign-ins with Microsoft use Microsoft's sign-in, so we never see that password.

What our license server keeps

InformationWhy
Your license key, the email address and name you bought with, your plan and its end dateTo know which license you have
For each activated PC: an anonymous ID made from the PC's Windows ID, the PC's name, the MailClient version, the internet address it last checked in from, and whenTo enforce the number of PCs and people at a time, and so you can see and remove PCs
A short history of license events (activated, PC removed, renewed)For support and to prevent misuse
Download counts of each versionTo know how many people have updated
If you create an account: your email, a scrypt hash of your password (never the password itself), whether you confirmed the email, and one sign-in cookieTo show you your licenses and send confirmation and password-reset emails (sent with ZeptoMail by Zoho)

We don't use advertising or tracking cookies, we don't build profiles, and we never sell or share this information. The admin pages use one cookie to keep our staff signed in.

AI features

The built-in rules and the offline AI work entirely on your PC. If you choose the Claude API and enter your own key, the text of the emails it works on is sent to Anthropic under your account and Anthropic's policies. That is off by default.

Payments

When you buy, the payment is handled by the payment provider we send you to (or your bank, for invoices). We keep the invoice details required for accounting, not your card number.

How long we keep it

License information is kept while your license is active and for up to 7 years afterwards where tax and accounting rules require it. PC check-in details older than 12 months are removed. Ask us and we'll delete what isn't legally required.

Your rights

You can ask to see, correct or delete your information, or ask how it's used, by writing to support@rsdware.com. We answer within 30 days. Depending on where you live you may also complain to your privacy regulator (in Canada, the Office of the Privacy Commissioner).

Security

Our server is reached only over HTTPS, its database can't be reached from the internet, it is backed up nightly, and every answer it gives the software is digitally signed, so nobody can pretend to be it.

Children

MailClient is meant for people 16 and older and for businesses.
